Privacy Policy

We collect only what you type into a form on this Site, plus the ordinary technical information any website receives when a browser requests a page.

When you submit a form on a listing, whether that is authorizing a bid or confirming a purchase, we collect:

• Your name and email address, which are required so that we can reply and invoice you.
• The city and state you want the item sent to, but only if you asked for U.S. domestic shipping. If you are collecting in Pomona we do not ask where you live.
• Your notes, if you write any.
• The maximum you authorized us to bid, on an auction listing.
• Whether you asked for U.S. domestic shipping to be quoted.
• Which listing you were looking at when you submitted the form.
• That you confirmed you had read the terms, and when.

We do not ask for a phone number. We do not collect payment card numbers, bank details, or any other financial account information anywhere on this Site.

Our hosting provider records standard server logs, which include IP addresses, browser type, and the pages requested. We use these to keep the Site running and to investigate problems and abuse.

We think it is worth being specific about what we do not do, since much of it is standard practice elsewhere.

• There are no customer accounts. You cannot create one, and we do not store passwords for anyone but our own staff.
• We run no analytics, tracking pixels, or advertising technology. We do not build advertising profiles and we do not sell or share personal information for targeted advertising or any other purpose.
• We set no cookies for ordinary visitors. The only cookies and browser storage on this Site belong to the administrator sign-in, which applies to GET Japan staff only.
• We do not send marketing email. If we email you, it is a reply to something you sent us.
• No payment is taken on this Site. Invoicing happens separately once you have confirmed a quote.

What you submit is used to carry out what you authorized: to bid or purchase on your behalf, to invoice you if that succeeds, to arrange shipping and handover, and to keep a record of the commitment on both sides. We also use your email to tell you the outcome, including when a bid does not win.

We may also use it to keep records of transactions, to comply with legal obligations, and to investigate fraud or misuse of the Site.

We do not use it for anything else, and we do not use it to profile you.

We use a small number of service providers, and each one receives only what it needs to do its job:

• Supabase hosts the database where submissions are stored.
• Vercel hosts the Site and produces the server logs described above.
• Resend delivers the notification email that reaches our inbox when you submit a form. That email contains what you typed into it.
• An AI provider translates and summarizes listing text for us. It receives the seller’s Japanese listing text only. Nothing you submit, including your name and email, is ever sent to it.

Listing photographs are served directly from Yahoo’s image servers rather than copied onto ours. As a result, Yahoo receives your IP address and browser information when those images load, in the same way it would if you visited any page that embeds them.

Beyond that, we disclose personal information only when you ask us to, when it is necessary to complete a purchase you have asked us to make, when required by law or valid legal process, or in connection with a sale or transfer of the business.

We do not sell personal information, and we have not done so in the preceding twelve months.

A submission that did not lead to a purchase, because a bid was not won or the item was withdrawn, is kept while we deal with it and for a reasonable period afterwards, and then deleted on request.

A submission that did lead to a purchase is a record of an agreement between us, so it is kept for as long as we may need it for accounting, tax, or dispute purposes. We cannot delete that one on request, for the same reason you would not want us to be able to.

For anything else, ask us and we will delete it unless we are required to keep it.

Wherever you live, you can ask us to tell you what information we hold about you, to correct it, or to delete it. Email us and we will do it. We will not treat you differently for asking.

If you are a California resident, the California Consumer Privacy Act gives you rights to know, delete, and correct personal information, and to opt out of its sale or sharing. As described above, we do not sell or share personal information, so there is nothing to opt out of. You may exercise the other rights by emailing us.

If you are in the United Kingdom or the European Economic Area, you also have rights to object to or restrict processing, to receive a copy of your information in a portable form, and to complain to your local data protection authority.

We may need to confirm your identity before acting on a request, so that we do not hand your information to somebody else.

This Site is not intended for children, and we do not knowingly collect information from anyone under 16. If you believe a child has sent us information, contact us and we will delete it.

What you submit is held in a database with access restricted to GET Japan staff, and traffic to and from the Site is encrypted in transit. No security measure is perfect, and we would rather say so than promise otherwise. Please do not send us sensitive information you would not want stored, and never send payment card details by email.

We are based in the United States and our service providers may process information in the United States and elsewhere. If you are in the United Kingdom or the European Economic Area, your information may be transferred outside your country, and we rely on recognized transfer mechanisms where required.

This policy covers getjapan.auction only. Our storefront at get-jpn.com runs on Shopify and has its own privacy policy covering accounts, payments, and the other things a storefront does. If you shop there, read that one as well.

We may update this policy as the Site changes. When we do, we will post the revised version here and update the date at the top. If a change materially affects how we handle information you have already given us, we will tell you.
